The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH has been working in Yemen on behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) since 1969. It opened its office in Sana’a in 1983. In order to deliver flexible support at a time of war and insecurity, GIZ operates in Business Continuity Management mode in Yemen. Yemen is one of the nexus and peace partner countries of the German development cooperation. GIZ implements projects in the fields of water and sanitation, health, education, private sector, and employment, as well as good governance, peace, and local administration. At the same time we support measures to rehabilitate basic services for and enhance resilience of the local population, including particularly vulnerable groups such as internally displaced people. Our actions and decisions are guided by several core principles, the safety of our national colleagues as well as their well-being belonging to the most important ones.
With immediate effect the GIZ Office invites applications from qualified Yemeni nationals for the following position:

Introductory text:
As the Administration and Mobility Management Professional, you will be responsible for overseeing and managing all administrative processes, mobility management, and external communications for the GIZ Risk Management Office (RMO) Yemen. Under the supervision of the Head of RMO, you will coordinate with various stakeholders, ensure compliance with GIZ standards, and provide administrative support to international staff visiting IRG areas.
Overview of general tasks
A. Administrative Processes: Provide administrative support and ensure compliance with GIZ standards.
B. External Communications: Represent the RMO by liaising with external actors and ensuring effective communication with project staff.
C. Mobility Management: Coordinate international staff visits, liaise with external actors, manage documentation, monitor travel planning, provide visa advice, coordinate with UNDP/UNHAS, and serve as the focal point for authorities.
D. Other duties and additional tasks: Report problems in administration or compliance, undertake assigned tasks.
Main activities include:
A. Administrative Processes:
- Perform daily administrative tasks, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Coordinate with the GIZ Yemen country office on administrative tasks and mobility management.
- Ensure adherence to GIZ information security and data protection standards.
- Maintain filing systems and procedures according to GIZ guidelines.
- Prepare presentations and reports as needed.
- Update the RMO IDA page.
B. External Communications:
- Liaise with external actors as the RMO representative.
- Cultivate effective working relationships with relevant ministries.
- Ensure effective communication with project staff.
C. Mobility Management:
- Coordinate visits of international staff to Yemen in cooperation with the Security Risk Management Advisor.
- Coordinate with MoPIC on project and administrative issues, such as visa applications for international staff.
- Provide advice on visa applications and travel preparation.
- Serve as the focal point for UNDP/UNHAS for bookings and general coordination.
- Serve as the focal point for the authorities (MoPIC) to obtain permissions and clearances.
D. Other duties and additional tasks:
- Promptly report any problems in administration or compliance with GIZ rules and regulations to the Head of RMO without delay.
- Undertake any additional tasks assigned by the Head of RMO.
Qualifications
- Advanced university degree in Public Administration or alike (Master or equivalent).
Professional experience
- Minimum 5 years of working experience in administration, mobility management, or a similar field.
- Proven experience in a communication/ stakeholder liaison role.
- Experiences working with Risk Management.
Other knowledge, additional competencies
- Strong organizational skills and ability to optimize resource usage.
- Outstanding communication skills.
- Proven decision-making skills and a high sense of initiative.
- Ability to handle multiple tasks simultaneously.
- Excellent written and spoken command of Arabic and English.
- Excellent working knowledge of ITC technologies.
- Discretion, flexibility, commitment, dedication, and attention to detail.
- Willingness to travel within and outside of Yemen.
- Willingness to upskill as required by the tasks.
- Proven knowledge in Monitoring and Evaluation is desirable.
